These terms are an agreement between you and Vital Brands Inc., 363 N Sam Houston Pkwy E, Suite 125, Houston, TX 77060, USA (“VaxCheck”, “we”, “us”).
Please read sections 9 through 13 carefully. They limit our liability, require you to defend us against certain claims, require you to carry insurance, and affect how disputes are resolved.
The short version. This summary is for orientation and is not part of the agreement; if it and the numbered sections disagree, the sections win.
- VaxCheck stores pet vaccination records that owners and shops enter, shows their status by date, and sends reminders. It verifies nothing with a vet and nothing on it is an official certificate.
- The shop decides which animals to admit and is responsible for its own legal compliance and for keeping its own copies of records. VaxCheck is not the shop's system of record.
- VaxCheck is free — every location, every feature, as many pets as you like, and no card. Section 7 has the full position.
- Optional tools — reading a certificate with AI, asking a clinic to confirm, forwarding mail to a records address, a public door-policy page, reports — are aids. A person checks every AI reading; a clinic's answer is the clinic's statement; a report shows records as entered.
- Our liability is capped; shops indemnify us for what happens in their shop and carry insurance. Disputes go to court in Harris County, Texas, except where a Canadian consumer's provincial law says otherwise.
1. Who these terms apply to
Two different people use VaxCheck, and these terms apply differently to each.
A Facility is the business that holds a VaxCheck account — a groomer, daycare, boarding kennel, trainer or similar. If you create an account, “you” means the Facility, and you agree to all of these terms.
A Pet Owner is a consumer who submits their pet's records through a Facility's intake link. If you are a Pet Owner, only sections 1, 2, 3, 4, 9, 13 and 14 apply to you, along with our Privacy Policy — and, if you use the records portal at vaxcheck.app/my-pets, Part 2 (sections 18 to 26) as well, and Part 3 (sections 27 to 31) for any of those tools you use.
You accept these terms by creating an account, or by submitting a record through an intake link after being shown a link to these terms.
Eligibility. You must be at least 18 years old (or the age of majority in your province, if higher) to create an account or submit records. If you create an account for a business, you confirm that you are authorised to bind it. We may refuse or close an account that does not meet these conditions.
Canada. This edition applies to Facilities located in Canada and to Pet Owners who submit records to them. Where these terms say “state”, read “province or territory”. Nothing in these terms limits any right or remedy that the consumer protection legislation of your province gives you and does not allow to be waived, including under Quebec's Consumer Protection Act and Ontario's Consumer Protection Act, 2002; where a provision here would do so, it applies to you only to the extent the law permits.
2. What VaxCheck is
VaxCheck stores pet vaccination records, lets a Facility mark a record as reviewed by its own staff, and sends reminders by email before a recorded expiry date.
For Pet Owners, VaxCheck also offers a free records portal: a pet card with an optional public link and wallet pass, a private Document Vault, a travel folder. Those features are described in Part 2. VaxCheck Plus, the optional paid tier described there, is not currently sold; every Pet Owner has what it covers.
3. What VaxCheck is not — please read this
VACCINATION INFORMATION IN VAXCHECK IS SELF-REPORTED BY PET OWNERS. WE DO NOT VERIFY IT.
Specifically:
(a) Pet Owners type in the vaccine type, the date administered and the expiry date themselves. We do not check what they type against any veterinary record, any veterinarian, any clinic, any registry, any government database, or any other source.
(b) Certificate photos and PDFs are uploaded by Pet Owners. We do not check whether they are genuine, current, complete, altered, or related to the pet named in the record.
(c) “Verified” is the Facility's own statement, not ours. When a record shows as verified, it means someone at that Facility clicked a button. It does not mean VaxCheck checked anything. We have no way of knowing whether the Facility looked at the certificate, looked at it carefully, or looked at it at all. A record entered directly by Facility staff is marked verified automatically and may have no certificate attached.
(d) The colored statuses are arithmetic, not a judgement. Green, amber and red are calculated only from the expiry date somebody typed in. A green status means a date in the record has not yet passed. It is not a statement that a pet is vaccinated, healthy, safe, or fit to be admitted.
(e) We are not a certifying authority. We do not issue, generate, certify, validate, endorse or authenticate vaccination certificates or any other document. We are a filing cabinet with a calendar.
(f) We do not give veterinary, medical, legal or regulatory advice, and nothing in the service or our marketing is such advice.
4. Reminders are a convenience, not a guarantee
WE DO NOT GUARANTEE THAT ANY REMINDER WILL BE SENT, DELIVERED, RECEIVED, OR ACTED ON.
You should assume reminders will sometimes fail. In particular:
(a) We only send reminders for records a Facility has marked verified. If your staff never mark a record verified, no reminder is ever sent for it. Checking that records are being marked verified is your job, not ours.
(b) Reminders go to the email address the Pet Owner typed in. If it is wrong, out of date, mistyped or abandoned, the reminder goes nowhere.
(c) Email travels over networks we do not control. Messages are filtered as spam, blocked by carriers, rejected by mailboxes, delayed and silently dropped, routinely.
(d) Reminders are email-only. If we introduce text-message reminders in the future, they will require a phone number and the Pet Owner's express opt-in, and these terms will be updated before they switch on.
(e) Reminder timing may change, and we may add, change or remove reminder features.
A missed, late or undelivered reminder never shifts responsibility for any admission decision to us.
5. Your responsibilities as a Facility
You agree that:
(a) You decide which animals to admit, and you are solely responsible for that decision. VaxCheck is one input. It is not an approval, a clearance, or a substitute for your own policy and judgement.
(b) You will check certificates yourself before marking a record verified, and you will not treat a record as verified because it looks plausible on screen.
(c) You are solely responsible for your own legal compliance. Rules for pet care facilities vary by state, county and city, change over time, and may require specific vaccines, specific documentation, specific retention periods and specific inspections. Examples include Colorado's PACFA rules, Iowa Administrative Code r. 21-67.7 and 21-67.8, and New York City Health Code § 161.15. We do not track which rules apply to you, and using VaxCheck does not make you compliant with any of them. Confirm your obligations with your regulator, your insurer and your own attorney.
(d) You are responsible for retaining records as long as the law requires. Some jurisdictions require vaccination records to be kept on the premises for a year or more. Keep your own independent copies. Do not rely on VaxCheck as your only record. See section 15 for what happens to your data when your account ends.
(e) You obtained any consent needed to contact your Pet Owners, you will not upload phone numbers or email addresses obtained any other way, and you will not use VaxCheck to send unsolicited messages.
(f) You will keep your sign-in mailbox secure. Sign-in is by magic link, so anyone with access to that mailbox has access to your account, and you are responsible for everything done under it.
(g) You are at least 18 and authorized to bind your business.
6. Acceptable use
You may not use VaxCheck to store unlawful content, to infringe anyone's rights, to access another account's data, to probe, scan or disrupt the service, to resell it without our written agreement, or to upload malicious code. We may suspend or close accounts that do.
Copyright complaints. If you believe a file stored on VaxCheck infringes your copyright, email hello@vaxcheck.app with the work, the location of the file, your contact details, a statement of good-faith belief and a statement under penalty of perjury that you are the owner or authorised to act, and your signature. We remove or disable access to material that a complete notice identifies, tell the account holder, and accept a counter-notice in the form the Digital Millennium Copyright Act describes. Repeat infringers lose their accounts.
7. Plans, billing and cancellation
VaxCheck is currently free. There is no charge to any business or pet owner for the service, no payment method is collected, and no subscription exists to renew or cancel. Nothing in the rest of this section is in force while that is the case.
We may begin charging in future. If we do, we will give you at least 30 days' notice by email before any charge could be made, and you will have to choose a plan and enter a payment method yourself — no account is moved onto a paid plan automatically. If you do not choose one, nothing is deleted and your data remains exportable at any time. The terms below then take effect for accounts that do subscribe.
A location created on or after 5 September 2026 gets its first 90 days with no pet limit and no card on file. There is no free plan after that: a location without a subscription is held — everything already stored stays where it is, stays readable, and exports to a spreadsheet at any time, and the check-in screen keeps working, but no new pet can be added and expiry reminders stop sending. Both resume when a subscription starts. Nothing is deleted for non-payment; deletion follows section 11. A location created before that date keeps the 50-pet free allowance it signed up under, with no time limit. Pro is CA$40 per month or CA$400 per year, per location, where we offer Canadian-dollar pricing; where we do not yet, it is US$29 per month or US$290 per year and your card issuer converts the charge. The price you see at checkout is the price you pay, and it renews automatically at that price until you cancel. A location that subscribed before 5 September 2026 keeps the price it subscribed at — US$19 per month or US$190 per year — for as long as that subscription runs, and the plan page shows that location its own figures. Prices exclude GST/HST and, where they apply, QST or PST; where we are required to collect them, they are added at checkout at the rate for your province and shown before you pay. A subscription covers one physical location; additional locations need their own subscription. Payments are handled by Stripe; we never see your full card number.
Pro includes unlimited pets, subject to fair use; if your usage is persistently far beyond typical single-location use we will contact you before taking any action, and we may propose a higher plan. Pro is sold on the basis of unlimited pets and email reminders; text-message reminders are not part of any plan today.
Automatic renewal, and the reminder before it. Both plans renew automatically at the price you agreed until you cancel. On the annual plan we email you 30 days before each renewal, naming the date, the amount that will be charged and how to cancel — you do not have to remember the date, and you will never be charged for a year without notice. If that message does not reach you, tell us and we will put it right. (California's Automatic Renewal Law requires this notice for any subscription of a year or more; we send it to every annual subscriber rather than trying to work out who is in California.)
Cancel any time in Settings → Manage billing, in as few steps as it took to subscribe. Access continues to the end of the period you have paid for. We do not pro-rate partial periods.
If something went wrong on our side, email hello@vaxcheck.app within 14 days of a charge and we will make it right, including a refund where appropriate. Otherwise fees are non-refundable except where the law requires.
We will give at least 30 days' notice by email before a price increase affects an existing subscription. For Quebec consumers, notice of any change to these terms or to a price is given at least 30 days before it takes effect and states the change and the date, as the Consumer Protection Act requires.
Failed payments. If a renewal charge fails, Stripe retries for about three weeks and emails you; Pro features continue during that time. If it still fails, the location returns to the Free plan: records stay, reminders keep sending, and adding pets beyond the Free limit waits until billing is fixed in Settings → Manage billing. We charge no late fees.
If you move from Pro to Free, records already in your account stay, and reminders for them keep sending. You will not be able to add pets beyond the Free plan limit until you upgrade again.
8. Your data and our property
You own the records in your account. You grant us only the license needed to store, display, transmit and back them up in order to run the service, as described in our Privacy Policy.
You can delete a pet — and everything on file for it, including its vaccination records and certificate photos — at any time from your dashboard. The account owner can also correct a single record's dates or delete it from the pet's page; both are written to the location's activity trail. The account owner can export your pet, owner and vaccination data at any time from Settings → Account → Import & export as a CSV file. Certificate photos are not included in that file, so download any you need to keep before deleting a pet.
The VaxCheck software, design, and name belong to Vital Brands Inc. These terms give you the right to use the service and nothing more.
9. Disclaimer of warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITH ALL FAULTS AND WITHOUT WARRANTY OF ANY KIND.
TO THE FULLEST EXTENT PERMITTED BY LAW, VITAL BRANDS INC. DISCLAIMS ALL WARRANTIES, EXPRESS, IMPLIED AND STATUTORY, INCLUDING THE IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT.
WE SPECIFICALLY DISCLAIM ANY WARRANTY THAT: THE INFORMATION IN THE SERVICE IS ACCURATE, COMPLETE, CURRENT OR GENUINE; THAT ANY CERTIFICATE OR RECORD IS AUTHENTIC OR UNALTERED; THAT ANY ANIMAL IS ACTUALLY VACCINATED, HEALTHY, OR SAFE; THAT ANY REMINDER WILL BE SENT, DELIVERED OR RECEIVED; THAT THE SERVICE WILL BE AVAILABLE, UNINTERRUPTED, TIMELY, SECURE OR ERROR-FREE; OR THAT USE OF THE SERVICE WILL MAKE YOU COMPLIANT WITH ANY LAW, REGULATION, ORDINANCE OR INSURANCE REQUIREMENT.
WE MAKE NO UPTIME COMMITMENT AND OFFER NO SERVICE LEVEL AGREEMENT. WE MAY MODIFY, SUSPEND OR DISCONTINUE ANY PART OF THE SERVICE AT ANY TIME.
10. Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW:
(a) VITAL BRANDS INC. WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, GOODWILL, BUSINESS, DATA, OR BUSINESS INTERRUPTION, EVEN IF WE WERE ADVISED THAT SUCH DAMAGES WERE POSSIBLE.
(b) VITAL BRANDS INC. WILL NOT BE LIABLE FOR ANY BODILY INJURY, ILLNESS, DISEASE TRANSMISSION, DEATH, OR PROPERTY DAMAGE — TO ANY PERSON OR ANY ANIMAL — ARISING OUT OF OR RELATING TO: THE ADMISSION, REFUSAL, CARE, HANDLING, SUPERVISION OR RELEASE OF ANY ANIMAL; THE ACCURACY, INACCURACY, COMPLETENESS OR AUTHENTICITY OF ANY VACCINATION RECORD; ANY BITE, ATTACK, INJURY, INFECTION OR OUTBREAK; OR THE SENDING, NON-SENDING, DELAY OR NON-DELIVERY OF ANY REMINDER.
(c) OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS, OF EVERY KIND, IS LIMITED TO THE GREATER OF (i) THE FEES YOU PAID US IN THE TWELVE MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR (ii) FIFTY US DOLLARS ($50.00).
(d) THESE LIMITS APPLY REGARDLESS OF THE THEORY OF LIABILITY — CONTRACT, WARRANTY, TORT, NEGLIGENCE, GROSS NEGLIGENCE, STRICT LIABILITY, STATUTE, OR ANY OTHER — AND APPLY EVEN IF A REMEDY FAILS OF ITS ESSENTIAL PURPOSE.
(e) THE PARTIES AGREE THAT THESE LIMITS ARE A REASONABLE ALLOCATION OF RISK AND AN ESSENTIAL BASIS OF THIS AGREEMENT, AND THAT VAXCHECK’S FEES ARE SET IN RELIANCE ON THEM. SOME JURISDICTIONS DO NOT ALLOW CERTAIN LIMITATIONS, SO SOME OF THESE MAY NOT APPLY TO YOU.
11. Indemnity by the Facility
YOU WILL DEFEND, INDEMNIFY AND HOLD HARMLESS VITAL BRANDS INC., ITS OFFICERS, DIRECTORS, EMPLOYEES, CONTRACTORS AND AGENTS FROM AND AGAINST ANY AND ALL CLAIMS, DEMANDS, SUITS, PROCEEDINGS, LOSSES, DAMAGES, JUDGEMENTS, SETTLEMENTS, FINES, PENALTIES, COSTS AND EXPENSES — INCLUDING REASONABLE ATTORNEYS’ FEES AND COSTS OF DEFENCE — ARISING OUT OF OR RELATING TO:
(a) YOUR ADMISSION, REFUSAL, CARE, HANDLING, SUPERVISION OR RELEASE OF ANY ANIMAL, AND YOUR INTAKE, VACCINATION AND ADMISSION POLICIES;
(b) ANY BODILY INJURY, ILLNESS, DISEASE TRANSMISSION, DEATH OR PROPERTY DAMAGE TO ANY PERSON OR ANIMAL AT, CAUSED BY, OR CONNECTED WITH YOUR FACILITY OR ITS OPERATIONS, INCLUDING ANY BITE, ATTACK, INFECTION OR OUTBREAK;
(c) ANY CLAIM THAT A RECORD IN YOUR ACCOUNT WAS INACCURATE, INCOMPLETE, FALSE, ALTERED, OUT OF DATE OR NOT GENUINE, OR THAT A RECORD WAS OR WAS NOT MARKED VERIFIED;
(d) YOUR FAILURE TO COMPLY WITH ANY LAW, REGULATION, ORDINANCE, LICENCE CONDITION, INSURANCE REQUIREMENT OR RECORD-RETENTION OBLIGATION APPLICABLE TO YOUR FACILITY;
(e) ANY CLAIM UNDER THE TELEPHONE CONSUMER PROTECTION ACT, THE CAN-SPAM ACT, ANY STATE ANALOGUE, OR ANY PRIVACY OR MARKETING LAW, ARISING FROM CONTACT DETAILS YOU PROVIDED OR CAUSED TO BE COLLECTED WITHOUT THE CONSENT REQUIRED BY LAW; AND
(f) YOUR BREACH OF THESE TERMS.
THIS INDEMNITY APPLIES EVEN WHERE THE CLAIM ALLEGES THAT VITAL BRANDS INC. WAS ITSELF NEGLIGENT, IN WHOLE OR IN PART, OR IS OTHERWISE AT FAULT. THE PARTIES SPECIFICALLY INTEND THIS INDEMNITY TO COVER CLAIMS ARISING FROM VITAL BRANDS INC.’S OWN NEGLIGENCE. IT DOES NOT COVER OUR GROSS NEGLIGENCE, WILFUL MISCONDUCT OR FRAUD.
We will notify you promptly of any claim, and you may control the defence with counsel we reasonably approve. You may not settle a claim in a way that imposes any obligation or admission on us without our written consent.
12. Insurance
YOU MUST MAINTAIN, AT YOUR OWN COST AND FOR AS LONG AS YOU USE VAXCHECK, COMMERCIAL GENERAL LIABILITY INSURANCE APPROPRIATE TO A PET CARE BUSINESS, COVERING ANIMAL BITES AND ANIMAL-RELATED INJURY, WITH LIMITS OF NOT LESS THAN $1,000,000 PER OCCURRENCE AND $2,000,000 IN THE AGGREGATE.
ON REQUEST, YOU WILL NAME VITAL BRANDS INC. AS AN ADDITIONAL INSURED AND PROVIDE A CERTIFICATE OF INSURANCE. THIS COVERAGE IS PRIMARY AND NON-CONTRIBUTORY TO ANY INSURANCE WE CARRY, AND YOUR INSURER WAIVES SUBROGATION AGAINST US TO THE EXTENT YOUR POLICY PERMITS.
13. No third-party beneficiaries; assumption of risk
These terms create no rights for anyone who is not a party to them. No pet owner, employee, customer, visitor, injured person, insurer or government agency is a third-party beneficiary of this agreement, and no one may bring a claim against Vital Brands Inc. under it.
We owe no duty to any third party. We do not undertake, and expressly disclaim, any duty to protect any person or animal from harm. Any protective function is performed by the Facility using its own judgement, not by VaxCheck.
You knowingly and voluntarily assume all risk arising from your admission decisions and from any reliance on information in the service.
14. Data protection roles
For personal data about Pet Owners collected through your intake and update links, you are the controller (or “business”) and we are the processor (or “service provider”). You decide to collect it and why. We process it only to provide the service, on your documented instructions.
We are an independent controller for your business account data, our billing records, our security logs, and our own sales and marketing contacts.
You are responsible for giving Pet Owners any notice, and obtaining any consent, that the law requires, including for any future messaging channels. We provide notice and consent language on the intake form, but you remain responsible for its adequacy for your business. A data processing addendum is available on request from hello@vaxcheck.app.
Your own agreement. Settings lets you publish an agreement of your own — your boarding, grooming or daycare terms — for Pet Owners to accept on your intake form. The words are yours: you are responsible for their content and for whether they are enforceable, and we recommend a lawyer review them. We record each acceptance (the version accepted, the date and time, the network address and browser it came from) and keep the text of every version you have published, so that you can show what a person agreed to. We do not review your agreement, and recording an acceptance is not legal advice or a guarantee that the agreement binds anyone.
15. Term, termination and what happens to your data
Either party may end this agreement at any time. We may suspend or terminate an account that breaches these terms, that creates legal or security risk, or for non-payment.
To close your account and have your data deleted, email hello@vaxcheck.app. We delete it within 30 days of your request, permanently. Export your records first — Settings → Account → Import & export, any time, no charge. Once deleted the data is gone and we cannot recover it.
If you simply stop using VaxCheck without asking us to delete, we keep your records so they are still there when you come back (and because you may be required to retain them). Ask us and they go.
Records you delete yourself from the dashboard are deleted immediately and permanently, including certificate photos. That is not reversible.
Because you may be legally required to retain vaccination records after you stop using VaxCheck, keep your own copies. We are not your system of record.
Sections 3, 4, 5(c), 5(d), 8, 9, 10, 11, 12, 13, 14, 15, 16, 17 and, to the extent they apply to you, 18 to 31 survive termination.
16. Governing law, venue, jury waiver and time limit
These terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules. The parties consent to exclusive jurisdiction and venue in the state and federal courts of Harris County, Texas. Either party may instead bring an individual claim in small-claims court.
EACH PARTY KNOWINGLY, VOLUNTARILY AND INTENTIONALLY WAIVES ANY RIGHT TO A TRIAL BY JURY IN ANY PROCEEDING ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE.
ANY CLAIM ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE MUST BE BROUGHT WITHIN ONE (1) YEAR AFTER IT ACCRUES, OR IT IS PERMANENTLY BARRED, EXCEPT WHERE A LONGER PERIOD IS REQUIRED BY LAW.
Consumers in Canada. If you are a Pet Owner and the consumer protection law of your province gives you the right to bring a claim in the courts of your province, or to a limitation period, a jury or a remedy that cannot be waived, that law applies to you and the paragraphs above yield to it to that extent. The choice of Texas law does not deprive you of the protection of the mandatory rules of the law of your province.
Language. The parties have expressly agreed that this agreement and all related documents be drawn up in English. Les parties ont expressément convenu que la présente convention et tous les documents qui s'y rattachent soient rédigés en anglais.
17. General
Changes. We may update these terms. We will announce material changes by email at least 14 days before they take effect. Continuing to use the service after that means you accept them.
Entire agreement. These terms and the Privacy Policy are the whole agreement between us and replace any earlier understanding.
Severability. If any provision is unenforceable, it is modified to the minimum extent needed to make it enforceable, and the rest stays in force.
No waiver. Not enforcing a provision once does not waive it.
Assignment. You may not assign these terms without our written consent. We may assign them to an affiliate or in connection with a merger or sale of assets.
Force majeure. Neither party is liable for a failure caused by events beyond its reasonable control, including outages at our infrastructure providers.
Notices. We send notices to your account email. Send legal notices to hello@vaxcheck.app and to Vital Brands Inc., 363 N Sam Houston Pkwy E, Suite 125, Houston, TX 77060.
Electronic communications. You agree that we may give you notices, disclosures, receipts and any other communication about your account electronically, by email or by posting in the service, and that these satisfy any requirement that a communication be in writing. Keep your account email current; you may withdraw this consent by closing your account.
Availability and maintenance. We aim to keep the service available around the clock but make no uptime promise (section 9). We may take it offline briefly for maintenance, and will try to do so at quiet hours and, for anything longer than an hour, with notice by email or in the dashboard.
Part 2 — The pet owner records portal
Sections 18 to 26 apply to you if you use the records portal at vaxcheck.app/my-pets, whether you are a Pet Owner or a Facility signed in as one. Where a term in Part 2 is specific to a feature, it adds to — and does not replace — sections 3, 4, 9, 10 and 13, which apply to everything in the portal.
18. The pet card and the public verify link
Your records portal shows a pet card for each pet: the pet's name, species, breed, photo if you add one, and a summary of the vaccination records on file, with their colored statuses.
You can choose to turn on a public verify link for a pet. That link (and the QR code that encodes it) opens a page anyone can view without signing in. It is off by default, you turn it on pet by pet, and you can turn it off, or replace the link with a new one, at any time from the card. Once off, the old link stops working immediately.
The verify page shows pet data only: the pet's name, species, breed, photo, each vaccine's status and expiry date as entered, whether the Facility holding the record marked it verified and that Facility's name, its logo where it is a paying Facility, a clinic's name and answer where one was asked to confirm a record, and the date the card was last updated. It never shows your name, email address, phone number or postal address. Anyone with the link can see what is on it, so share it as you would share a photo, not a password.
THE PET CARD, THE VERIFY PAGE AND THE WALLET PASS ARE A RECORD SUMMARY AS ENTERED. THEY ARE NOT AN OFFICIAL VACCINATION CERTIFICATE, NOT PROOF OF VACCINATION, NOT ISSUED OR VERIFIED BY VAXCHECK, AND NOT A HEALTH RECORD OF ANY PERSON. SECTION 3 APPLIES TO EVERYTHING ON THEM.
A “verified by” mark on the card repeats the Facility's own statement described in section 3(c). It is not a statement by us. Whether any business, airline, kennel, event or authority accepts the card is entirely their decision; we make no promise that anyone will.
19. Wallet passes
You can add a pet card to Google Wallet or Apple Wallet, where each is available to you. Wallet passes are free for every owner. To create one we send the following to Google or Apple, and it is then stored on your phone under their terms: the pet's name, species and breed, the pet's photo where the platform supports it, each vaccine's name, dates and status, the “last updated” date, the Facility's name and logo where it is a paying Facility, and, if you turned sharing on, the verify link as a QR code. No owner name, email address, phone number or postal address is included in a pass.
Passes update automatically when the records behind them change; updates travel through Google's and Apple's own services, which we do not control, and may be delayed. You can delete a pass from your wallet at any time. We cannot recall a pass once it is on your phone — deleting it is something only you can do, and passes stay on any device you added them to until you remove them.
20. The lost-pet relay
If you turn sharing on, you may also turn on the lost-pet relay: a short form on the verify page that lets a person who scanned your pet's card send you a message. We forward the message and whatever contact details the sender typed to the email address on your VaxCheck record, and we tell you it came from a stranger.
We do not verify who sent a message, whether it is true, or whether the contact details in it are real.The contact details you receive belong to the sender and are not vetted by us. Use your own judgement before replying, meeting anyone or paying anything. We rate-limit the form to reduce abuse but cannot prevent every unwanted message; you can turn the relay off at any time. Your email address is never shown to the sender.
21. The Document Vault
The Document Vault lets you upload files about your pet — a rabies certificate, a health certificate, a microchip registration, an insurance card — and keep them in one private place. The vault holds as many documents as you like, for every Pet Owner, at no charge. Documents are visible only to you when signed in; they are not shown on the card, the verify page, any wallet pass or any share link, and no Facility can see them.
We do not open, review, check or extract anything from the files you upload. They are stored as you uploaded them. You are responsible for having the right to upload a file and for not uploading anything unlawful, and you grant us only the license needed to store, display back to you, and back up your documents in order to run the vault. Keep your own copies: the vault is a convenience, not your system of record.
Documents stay until you delete them or close your account. Deleting a document is immediate and permanent.
22. The travel folder and share links
The travel folder collects a pet's current vaccination summary and, if you choose, a list of the documents you have placed in it, into one view you can show at a counter or export. Every Pet Owner can create a share link to the folder for someone else — a kennel, a sitter, a relative — that works for 14 days and that you can revoke at any time before then.
A share link shows the same record summary as the card, plus the names of documents you chose to list. It never exposes the document files themselves, and it never shows your contact details.
WE MAKE NO STATEMENT ABOUT WHAT ANY AIRLINE, COUNTRY, STATE, KENNEL, EVENT OR OTHER DESTINATION REQUIRES FOR A PET TO TRAVEL OR BE ADMITTED, AND THE TRAVEL FOLDER IS NOT A TRAVEL DOCUMENT. CHECK THE REQUIREMENTS WITH THE DESTINATION AND YOUR VETERINARIAN BEFORE YOU TRAVEL.
23. VaxCheck Plus
VaxCheck Plus is not currently sold. Everything it would add — unlimited documents in the Document Vault, the travel folder and its share links, and reminders for documents you give an expiry date — is available to every Pet Owner at no charge while the service is free, and no payment method is collected. The paragraph below describes the tier as it would apply if and when it is offered again, on the same 30 days' notice described in section 7.
VaxCheck Plus is an optional paid tier for Pet Owners. It costs $2.99 per month or $19.99 per year, in US dollars, and renews automatically at that price until you cancel. It adds: unlimited documents in the Document Vault, travel folder export and share links, email reminders for documents you give an expiry date, and no “Get VaxCheck for your shop” footer on your verify page. Everything else in the portal — the card, the wallet pass, the verify link, the photo — is free with or without Plus.
Payments are handled by Stripe; we never see your full card number. Cancel any time from the Plus page in your portal, which opens Stripe's billing portal. Cancellation takes effect at the end of the period you have paid for; Plus features keep working until then and you are not charged again. We do not pro-rate partial periods. If you drop back to Free with more than three documents in your vault, nothing is deleted: you can still see and download everything, but you cannot add more until you are under the limit or resubscribe.
Refunds. If you were charged and have not used any Plus feature in the period charged, email hello@vaxcheck.app within 14 days of the charge and we will refund it. Otherwise refunds are at our discretion, except where the law requires one. We will give at least 30 days' notice by email before a price change affects an existing subscription. Plus is sold to individual Pet Owners for their own pets and is not a Facility plan.
24. The printed card
Where offered, you can order a printed plastic pet card for $14.99, including shipping, as a one-time purchase through Stripe Checkout. It carries the same content as the on-screen card at the time of printing, including the QR code if sharing was on. We ship to United States addresses only, typically within 7 to 10 business days of the order. If a card arrives damaged, email hello@vaxcheck.app with a photo within 14 days and we will send a replacement at no charge.
Because the card is personalised and printed to order, we cannot accept returns once it has been printed; if you cancel before printing we refund in full. The printed card records what was on file on the day it was printed and does not update. It is not an identification document, license, tag or certificate and is subject to section 18 in full. Fulfilment may be carried out for us by a printing partner, who receives only the card image and your shipping address.
25. Sponsored placements
Your portal may show a small number of clearly marked “Sponsored” placements — for example a link to request a pet insurance quote, or to shop for supplies. If you follow such a link and buy something, we may earn a commission. The placement is an outbound link only: we share no data about you or your pet with the partner, and the reference code in the link identifies VaxCheck as the source and contains nothing about you. What happens on the partner's site is governed by their terms and privacy policy, not ours. Sponsored placements are not shown to VaxCheck Plus subscribers. We do not endorse any partner's product and are not a party to any purchase you make from them.
26. Pet photos
You may add a photo of your pet to its card. By doing so you confirm you have the right to use the photo, and you grant us a non-exclusive, royalty-free, worldwide license to store it and to display it on that pet's card, verify page, wallet pass, travel folder and printed card, for as long as it is on the card. You can remove or replace the photo at any time; removing it ends the license, and the file is deleted from our storage, though a copy may remain briefly in caches or on a pass or printed card already issued. Do not upload photos of people, and do not upload a photo you do not have the right to use.

Part 3 — Reading, confirming and reporting
Sections 27 to 31 apply to Facilities and to Pet Owners who use these tools. They add to sections 3, 4, 9, 10 and 13, which apply to everything in the service.
27. Reading a certificate or document with AI
This feature is not switched on. It is described here and on our home page so that the terms are in place before it ships, and the home page says the same thing where it describes it. It is not part of any plan, it is not included in any price, and no amount you pay today buys it. Until we say otherwise, no document you give VaxCheck is sent to any reading provider.
When it is offered, you will be able to ask VaxCheck to read a vaccination certificate or another pet document and propose the vaccine names, dates and clinic details it finds, so they need not be typed. The reading is performed by an automated model operated by a third-party provider named in our Privacy Policy.
(a) A reading is a transcription aid, not a verification. It can misread a date, a name or a handwritten note, and it cannot tell whether a document is genuine, altered or about the pet it is filed under. Nothing is saved until a person looks at it; whoever saves it is responsible for what is saved, exactly as if they had typed it.
(b) A record made this way is marked as read from a certificate and checked by a person. That mark describes how the record was made. It is not a statement by VaxCheck that the record is correct.
(c) You may only submit documents you are entitled to share for this purpose. Do not submit documents about people, or anything unrelated to the pet.
(d) We limit how many documents an account may read each day, and we may withdraw or change the feature, or the provider behind it, at any time.
28. Asking a clinic to confirm
A Facility, or a Pet Owner from the portal, can ask the veterinary clinic named on a certificate to say whether the records on file match the clinic's own. We email the clinic a one-click page for that purpose.
(a) A clinic's answer is the clinic's statement, not ours. We do not check the clinic's identity beyond the email address you typed, and a confirmation means only that someone with access to that mailbox clicked “matches”. A clinic may decline or ignore the request.
(b) You confirm that you are entitled to ask — as the Facility holding the record with the owner's knowledge, or as the pet's owner — and that the address you enter is the clinic's. You may not use the feature to contact anyone else.
(c) Requests are limited per clinic, per pet and per day. A confirmed, disputed or unanswered request changes how a record is labelled; it does not change the record, and it never changes who decides admission.
29. A pet's records address (forwarded email)
Each pet may have a private email address to which a certificate can be forwarded. Mail received there is read as in section 27 and filed as unverified for the Facility to check.
(a) The address is a credential: anyone who has it can file records against that pet. Share it only with your veterinarian. A Facility can switch the feature off for its pets.
(b) We may discard mail that is not about the pet, exceeds size limits, or arrives from a sender we cannot process, and we may stop accepting mail for an address that receives abuse.
(c) Section 4 applies: we do not guarantee that any message is received or processed.
30. Door policy and the public policy page
A Facility can record which vaccines it requires, any maximum time since a dose, and a note, and can publish that as a page at vaxcheck.app/s/its-name. Pets are then checked against it on the Facility's screens and, for a signed-in Pet Owner, on the owner's own screen.
(a) The policy is the Facility's own admission policy, written by the Facility. It is not a statement of law, of veterinary guidance or of anything VaxCheck recommends, and we do not review it.
(b) A “meets policy” result is arithmetic on dates as entered against the Facility's own settings (section 3(d)). It is not an admission decision, which remains the Facility's under section 5(a).
(c) A Facility must keep its published policy accurate and lawful, including any non-discrimination rule that applies to it.
31. Compliance reports and the arrivals check
A Facility can generate a report of its pets' recorded statuses over a date range, download it, and keep a history of the totals; and can paste a list of expected arrivals to see their recorded statuses.
(a) A report shows records as entered at the moment it was generated, with each record's provenance. It is not a certification by VaxCheck of any pet's vaccination status or of the Facility's compliance with any law, license or insurance requirement (section 5(c)).
(b) The arrivals check matches names you paste against your own pets by name and owner. Matches can be wrong where names repeat; check before you act on one. We store nothing from the pasted list.
(c) Reports contain personal information about your clients. You are responsible for what you do with a downloaded copy, as with an export (section 8).
32. Handing your records to a business
From the portal, a Pet Owner can send one pet's records to any business by naming it and typing its email address. We create a link to a frozen copy of that pet's records as they stood at that moment, and the copy expires after 30 days.
(a) The link is a credential. Anyone holding it can read that pet's page until it expires or is revoked. Send it to the business you meant to send it to, and treat a forwarded link as forwarded.
(b) You confirm the records are yours to send and that the address you typed belongs to the business you named. You may not use this to contact anyone who has not asked to hear from you, to send records about a pet that is not yours, or to reach a person rather than a business.
(c) Who sends the message. Where the Pet Owner states the recipient is in the United States, VaxCheck sends the message, and it carries a working unsubscribe. Where the Pet Owner states the recipient is anywhere else, VaxCheck sends nothing and provides the link for the Pet Owner to send. The Pet Owner is responsible for the accuracy of that statement and for any message they send themselves.
(d) The copy is what was on file, not a clearance. The page says so. A receiving business decides admission on its own rules and its own checks; nothing about a shared page is a statement by VaxCheck that a pet is vaccinated, healthy or fit to be admitted (section 3).
(e) Limits and revocation. Sends are limited per account and per recipient address, per day. A Pet Owner can revoke a link at any time, and it stops working at once. Deleting the pet deletes the copy.
(f) If a receiving business later opens an account with the same address, the records the Pet Owner approved are made available to it, unverified, as a transfer under section 8. Records the Pet Owner did not approve are not included.
(g) If you are a business that received one of these: you have no obligation to us, you need no account to read the page, and you can stop every email from us permanently with the link in the message or by writing to privacy@vaxcheck.app.
33. Waiting lists for features that do not exist yet
Where we describe a feature that is not switched on and offer to tell you when it ships, we use the address you give for that single message and nothing else. It is not a newsletter, we do not add it to one, and a reply asking us to stop is enough. A description of an unreleased feature is not a promise that it will ship, on any date or at all, and nothing in a plan you buy today depends on it.
