Getting started

How long does setup take?

About ten minutes. Create your account with a magic link (no password), name your business, print the QR code from your dashboard, and put it on the counter. There's nothing to install and no training — the whole interface is a searchable list of pets with three colors.

Do I have to switch booking software?

No. VaxCheck is standalone. Keep Square, Acuity, a paper book — anything. There is nothing to integrate; VaxCheck only handles vaccine records and reminders.

My booking app already stores vaccine dates.

Storing the date and chasing the owner are different jobs. VaxCheck is for shops whose software records the date but doesn't remind anyone, or who don't want to pay for a full suite to get this one feature.

I have hundreds of records on paper. How do I start?

Two ways. Put the counter code out and let owners add their own pets as they come in — most of a client list arrives on its own inside a few weeks. Or export your client list from the software you use now and upload that file — it reads as it comes, the preview shows you what it read, and nothing is saved until you say so. A spreadsheet you type yourself imports the same way. If you would rather not start alone, email photos of up to 50 records to hello@vaxcheck.app and we will type those in for you. Your data also exports back out to a spreadsheet any time, so trying VaxCheck is not a commitment.

Who puts the records in

Who enters the records?

Pet owners, through your QR code or intake link. Each record shows up as “needs verification” until you check it against the certificate photo and tap verify.

What if an owner doesn't have the certificate with them?

They can add the pet now and upload the certificate later — your staff can share the pet's private upload link from the dashboard any time. Until a certificate is verified by your staff, the record shows “needs verification”, so you always know what's actually been checked.

Do pet owners need to create an account?

No, and there is never a password. They scan your QR code, fill in a two-minute form, and use the private link in the reminder email to upload new certificates. If they want to see everything at once they can open vaxcheck.app/my-pets and we email them a sign-in link — still no password, nothing to remember.

Can several staff members use it?

Yes. Invite each person from Settings with their own email address — they sign in with their own magic link and your location appears for them automatically. Nobody has to share a login, and each person signs in as themselves. The front desk can also stay signed in on the counter tablet all day.

At the counter

What do the colors mean?

Green: every verified vaccine is current. Amber: a verified vaccine expires within 30 days — the owner is getting reminders. Red: something is expired or missing — ask for a new certificate before check-in.

Does it work for cats?

Yes — FVRCP and rabies for cats are supported alongside the dog vaccines (rabies, DHPP, Bordetella, Leptospirosis, Canine Influenza).

A pet I see also goes to a daycare across town. Do the records follow the pet?

Only if the owner sends them. Each facility keeps its own file on a pet. When an owner scans your QR code and already has records at another VaxCheck facility, intake offers “bring those records here” — they sign in, tick the pets, and a copy of the dates and certificate photos lands in your account in about ten seconds. The copy arrives marked needs-verification, without the owner's phone number and without naming the other facility. It is always the owner's move: a facility can't request records, pull them, or find out whether an owner has any elsewhere.

What if an owner already uses VaxCheck somewhere else?

Then intake takes them about ten seconds. The top of your intake page offers “bring those records here”; they sign in, tick the pets, and the dates and certificate photos land in your account. They arrive marked needs-verification like anything else, so you still check them against the certificate. You are never told which other facility they came from.

Records and who can see them

Where are certificate photos stored?

Encrypted in transit and at rest, in US data centers (Supabase). Only your logged-in account can open them — plus VaxCheck staff where needed for support or to investigate abuse, as described in our Privacy Policy. Owners get a private link to their own pet and can never see anyone else's.

Who can see the records and photos?

Only your logged-in account. Certificates live in private, encrypted storage, and no other business can ever look into your account. The one exception is the pet owner's own choice: from their records portal an owner can send a copy of their own pet's records to another facility they use. That is their decision, never ours and never the other shop's — a facility cannot request records or even find out whether an address has any. Details in our Privacy Policy.

What does VaxCheck cost?

Nothing. Every feature, every location, as many pets, staff and records as you like, for shops and for pet owners — the spreadsheet import included. No card.

Can I cancel?

There is nothing to cancel — VaxCheck is free and we hold no card. Stop whenever you like: nothing is deleted, and every pet, owner and certificate exports to a spreadsheet any time.
