1. When a vaccine date lapses, who chases the owner? Storing the date and chasing the renewal are different jobs. If the honest answer is “whoever notices at check-in,” the record system isn’t protecting you — the receptionist’s memory is.

2. Who types the dates in? If it’s your staff, every new client costs front-desk time and every typo is yours. VaxCheck’s answer: the owner types their own records from a QR code on your counter, attaches a photo of the certificate, and your staff just checks it once and taps verified.

3. What do you show at the counter? A pet profile buried three taps deep is not a check-in tool. VaxCheck’s front-desk view is a searchable red / amber / green list — the whole interface.

Why standalone, on purpose

VaxCheck doesn’t book appointments, take payments, or manage your calendar — so there is nothing to migrate, no data export from your current system, and nothing to cancel if you stop. It runs beside whatever you use: keep Square for payments, Acuity for scheduling, your paper book for whatever the paper book does. Setup is about ten minutes: create an account, print the QR code, put it on the counter.

Owners get automatic email reminders at 30 days, 7 days and expiry, each with a private upload link for the new certificate. You can set exactly which vaccines your policy requires, and any pet missing one gets flagged at check-in.

Already have hundreds of records in your booking software?

Every booking suite exports a client list or a vaccination report as a spreadsheet. VaxCheck’s import reads those files as they come out — a first name and a last name in two columns, a “Cell Phone”, an “Expiration Date”, or one column per vaccine such as “Rabies Exp” — and shows you what it understood before anything is saved. Ten minutes, once, and the chasing starts that night.

Put the counter code out and let owners add their own pets as they come in — most of a client list arrives on its own inside a few weeks.
